The Task:
Identify whether the current HR and Payroll solutions are aligned with the business objectives and growth plans

The Challenge

The Ardmore Group are a family owned and operated main contractor, established in 1974.

With continued growth, increasing headcount and now a company restructure underway, it was recognised that the current HRIS processes and solutions needed to be re-evaluated.

The primary objective of the HRIS Audit was to identify whether the current (and separate) HR and Payroll systems could meet their business objectives and ambitious future growth plans, or if it was time to look at other system solutions.

Reluctant to commit to purchasing a new HRIS straightaway, The Ardmore Group needed to understand what they needed from an HRIS, and what their current solution could do for them.

The Process

To ensure the HRIS review was as effective as possible, The Ardmore Group identified the need for a reliable and trustworthy organisation to conduct a full audit of their current HRIS and processes.

In early 2023, they instructed LunarCloud to undertake a full analysis and evaluation of their existing HR, Payroll and Workforce Management solutions.

To obtain a wide-reaching understanding of the current situation, LunarCloud conducted workshops with The Ardmore Group’s key stakeholders from different business functions including Human Resources and Payroll. Each workstream was reviewed to understand what they need from a system and the output was shared with the wider team, who were then given the opportunity to add a weighting score and comments. These workstream responses were then consolidated into a single requirements list before being signed-off.

The final phase of the process involved performing a gap analysis by comparing the gathered requirements against what could be achieved by optimising the current systems. This stage determined whether the requirements could be met by investing in further configuration and customisation of their current system.

THE OUTCOME

Based on the findings of the HRIS Audit, gaps were identified in the current HR and Payroll systems which appeared to be predominately due to missing functionally, rather than the configuration settings. Each functional issue was highlighted with a recommended course of action.

Through this process, LunarCloud identified areas of configuration and setup of the current system which could be improved and would ultimately be of benefit to The Ardmore Group. A comprehensive summary showed the actions needed to be taken for both the short and long term.

Short-term Improvements

It was identified that in the short term, improvements could be made with a modest amount of configuration and enabling of functionality in the current HRIS which was already available, but not currently in use. 

Adopting this strategy rectified many of the minor challenges which were being experienced across the business and helped leverage the investment already made.

Longer-term visions

However, accepting the quick wins identified from the HRIS Audit revealed that ultimately, the current HR and Payroll systems failed to meet the needs of the growing business, and presented many compromises when compared with alternative solutions currently available on the market, irrespective of any additional investment made.

Upon reviewing the results and taking into consideration the future growth strategy for The Ardmore Group; LunarCloud’s ultimate conclusion and recommendation was to consider procuring a new HRIS solution that encompasses the HR, Payroll and Workforce Management functions that they require.
